Columns Interface
Within “Planning”, there are several interfaces designed to streamline your understanding of all promotion information entered in the system, speed up promotion creation, and changing statuses. The columns interface, the default view, acts as a visual workflow of all deals within the system. The below instructions will outline how to interact with the columns interface, and what its capabilities are.

Column Organization
Each column is organized by timeframe of soonest up top to the furthest out in time to the bottom. Each column is defined as one of the following; pending, submitted, approved, running, completed.
• Pending:a. Definition/Purpose: The first and default stage of promotions when created. Pending promotions are often deals that the user wants to have in the system because enough information has been provided to build out a basic understanding of the deal, but the promotion is not completely locked in and ready to submit.
b. Permissions rules: No permissions rules related to pending column.
c. Automated movement: No automated movement.
d. Additional notes:
- When a new promotion is created or a current promotion is edited, “pending” will be the default status.
- Pending promotions will appear in the system as expected dollars and units.
• Submitted:a. Definition/Purpose: Promotions within the submission column are deals in which the user has determined all the boxes their organization expects (contract backup, defensible volume estimates, buyer approval, etc.) have been checked and the promotion is ready to be approved by another user.
b. Permissions rules: No permissions rules related to submitted column.
c. Automated movement: No automated movement.
d. Additional notes:
Use of the submitted column depends on which tier of Vividlyl your organization subscribes to and which internal operating procedures your organization wishes to have in place.Any level of user can edit a promotion that is still in the submitted status and resubmit after editing the deal.
• Approved:a. Definition/Purpose: Promotions that have been submitted and thus approved and have yet to begin actively running in the marketplace.
b. Permissions rules: Depending on how your organization has chosen to structure permissions, only certain users may have the ability to approve promotions and this may also depend on the total estimated cost of the deal in total.
c. Automated movement: No automated movement.
d. Additional notes:
- If you wish to edit an approved promotion you may do so, however the promotion may need to be resubmitted depending on your permission level and the total estimated cost of the deal.
• Running:a. Definition/Purpose: Promotions that have been approved and are now active in the marketplace, as defined by the performance dates within the details of the promotion.
b. Permissions rules: If you are an admin, you may edit a promotion that is running and then move it back into the “running” status after the edits have been saved. If you are not an admin, promotions that are running can no longer be edited or cancelled. Only comments can be added or attachments included/deleted.
c. Automated movement: Promotions will automatically move from “approved” to “running” once the current date falls within the performance dates as defined within the promotion.
d. Additional notes:
If you are an admin and want to edit a running promotion, be sure that finance is OK with this change occurring because it may affect their planned accrual for the current month.
• Completed:a. Definition/Purpose: Promotions whose performance dates have passed and thus the promotion is over.
b. Permissions rules: If you are an admin, you may edit a promotion that is running and then move it back into the “completed” status after the edits have been saved. If you are not an admin, promotions that are completed can no longer be edited or cancelled. Only comments can be added or attachments included/deleted.
c. Automated movement: Promotions will automatically move from “running” to “completed” once the current date falls out of the performance date range as defined within the promotion.
d. Additional notes:
If you are an admin and want to edit a completed promotion, be sure that finance is OK with this change occurring because it may affect their planned accrual for the current month.
